What actually decides delivery

Cold email in 2026: the numbers that decide whether you land

Google and Microsoft stopped measuring how much you send and started measuring how people react to it. These are the thresholds every sender is now held to, and AutoMail enforces all of them by default.

The safe sending limit is 20 to 50 cold emails per inbox per day. A new mailbox starts at 10 to 20 and ramps over three to four weeks. You buy more volume by adding warmed mailboxes, never by pushing a single mailbox harder. Spam complaints above 0.3 percent make a sender ineligible for mitigation, which means there is no appeal.

Read the full breakdown in our guide to how many cold emails you can send per day.

Signal Safe Danger
Cold emails per inbox, per day 20 to 50 Above 100
Spam complaint rate Under 0.08% 0.3% and above
Bounce rate Under 2% Above 5%
Warm-up before first send 2 to 3 weeks Sending on day one
Authentication SPF, DKIM and DMARC Any one missing
Reply rate Above 5% Under 2%

Why outbound stalls

The tools made you choose: sound human, or get delivered

Volume platforms blast generic merge-fields that prospects delete on sight. Creative tools write charming emails that never leave the spam folder. Either way, your domain pays the price and your calendar stays empty.

  • Reply rates stuck at 4 to 6 percent because every email reads like a template
  • A burned domain after one careless campaign, and weeks of warm-up to recover
  • Follow-ups forgotten, or worse, sent to someone who already answered
  • Legal asking uncomfortable questions about CAN-SPAM and GDPR

Hi Jordan, saw that Northwind recently expanded fleet operations, congrats on the momentum. Teams at that stage usually feel the strain on outbound first.

Inbox-safe · score 96 Personalized 1:1

Every send gets this check before it leaves. Risky phrasing is flagged, the personal insight is verified, and the sequence only goes out clean.

What changes

More booked meetings, without burning your domains

Most tools make you choose between volume and personalization. AutoMail does both: a genuinely 1:1 sequence for every prospect, protected by a deliverability layer built for the 2026 sender rules.

Personalized at scale

The AI researches each prospect and writes a genuinely 1:1 opener and follow-up sequence, not a mail-merge token. Reply rates reflect the difference.

Lands in the inbox

Inbox rotation, gradual warm-up and a spam-score check on every send keep you in the primary inbox, built for the 2026 sender rules from Google and Microsoft.

Follows up and books

Automatic follow-ups run on schedule. Reply detection pauses the sequence the moment a prospect answers and routes the meeting-ready reply to your booking link.

Compliant by design

One-click unsubscribe in every email, suppression lists honored automatically, CAN-SPAM and GDPR built in. Permission-based B2B outreach, not spam.

How it works

Import a list, then AutoMail flies the route

Connect the inboxes and CRM you already use. The AI researches each prospect, writes the sequence, warms up and rotates the send, and books the meeting when a reply lands.

1
Day 0

Import your prospects

Drop in a list or sync your CRM and connect your inboxes. Warm-up and SPF, DKIM and DMARC checks run before the first send.

2
Write

The AI writes the sequence

It researches each prospect and writes a personalized opener and a three-step follow-up, with a spam-score check so every email is inbox-safe.

3
Send

Warm-up and rotation send

Inbox rotation spreads volume across mailboxes while warm-up keeps reputation healthy, so your sequence lands in the primary inbox.

Booked

Reply detected, meeting booked

When a prospect replies, the sequence pauses, the intent is classified, and the meeting-ready reply is routed to your booking link.

The deliverability difference

Personalized at scale, and it still lands in the inbox

The whole category forces a trade-off between creative, personal copy and reliable delivery. AutoMail makes deliverability the headline, so you can personalize every email and still reach the primary inbox.

  • A genuine 1:1 opener researched and written for every prospect, not a merge field
  • Inbox rotation spreads volume across mailboxes so no single domain gets burned
  • Gradual warm-up and SPF, DKIM and DMARC health keep sender reputation strong
  • A spam-score check on every send flags risky words before the email goes out

For the decision maker

What hand-written outbound costs you every month

A rep who researches and writes truly personal emails gets through 8 to 10 prospects an hour. AutoMail does the researching, writing and following up, so the same rep spends those hours in booked meetings instead. Run your own numbers.

A worked example: an SDR spending 15 hours a week on research and writing, at a loaded cost of $45 an hour, is $2,925 a month spent producing emails. The Growth plan is $99 a month, and the sequences it writes are personalized 1:1, checked for deliverability, and followed up without a single forgotten touch.

You might be thinking: "AI copy always sounds robotic."

Run the demo above: the opener quotes a real, researched company fact, and you approve the voice before anything sends.

You might be thinking: "Another tool will wreck my domain."

Warm-up, rotation and per-send spam checks exist precisely so your domain survives; that layer is the product, not an add-on.

You might be thinking: "Switching platforms is a project."

Import a CSV or sync your CRM, connect inboxes, and the first sequence is drafted the same afternoon.

From sales teams

More replies, more meetings, and your domains intact

Our reply rate went from 4 percent to almost 10 once every email was actually personalized. The deliverability layer keeps us in the primary inbox, and reply detection means we never double-message someone who already answered.
JM Jordan Mercer VP Sales, B2B SaaS
We were terrified of burning our domains. Inbox rotation and warm-up fixed that, and the one-click unsubscribe and suppression handling let our legal team sign off. It is the first cold email tool we trust.
RC Renata Cole Head of Growth, services firm
We run outbound for a dozen clients. AutoMail handles the volume, keeps each workspace separate, and the flat fee beats per-seat pricing by a mile. The personalization is the part our clients actually notice.

Before you start

The questions sales teams ask first

No, that is exactly what the deliverability suite prevents. AutoMail warms up your mailboxes, rotates sends across inboxes, runs a spam-score check on every email and guides your SPF, DKIM and DMARC setup. It is built deliverability-first for the 2026 sender rules.
Yes, for permission-based B2B outreach done right. Every email includes a real sender identity and one-click unsubscribe, opt-outs and suppression lists are honored automatically, and the platform is CAN-SPAM and GDPR aware. We enforce compliance; we are not a spam tool.
It researches each prospect and writes a real 1:1 opener and sequence, not a token swap. Run the demo above to see a personalized sequence drafted from a company insight in seconds.
No. Reply detection pauses the sequence the moment a prospect answers, classifies the intent, and routes meeting-ready replies to your booking link, so you never double-message a responder.
No. The Agency plan includes unlimited inboxes and unlimited workspaces on a flat rate, not per-seat, so running outbound for many clients does not multiply your bill.
Yes, anytime, with no long contracts. Your data is encrypted, never sold, and removal and suppression requests are honored.
