Almost every tool in this category will schedule a second, third and fourth email. That is the easy part, and it is why the roundups all look the same. The part that decides whether the software is worth paying for is what happens when someone answers, because a follow-up that arrives after a prospect has already replied is worse than no follow-up at all. It tells the reader nobody is home.

What follow up email software actually has to get right

Automating the send is table stakes. These four things separate a tool that protects the relationship from one that just fires on a timer.

Reply detection that stops the sequence. The whole sequence has to cancel the instant a real reply lands, not on the next daily sync. This is the single feature that distinguishes follow up email software from a plain autoresponder, which keeps firing on its trigger regardless of what the recipient does. Every tool below claims it. The ones worth buying also get the edge cases right.

Out-of-office handling. An automatic vacation reply is not a reply. A tool that treats it as one will silently drop the prospect out of the sequence and you will never follow up with them again. A tool that treats it as nothing at all will keep emailing someone who is on a beach for two weeks. The correct behavior is to pause and resume, and it is worth testing in a trial.

Cadence control that is actually yours. You want to set the gap between steps, the sending window in the prospect's time zone, and the daily volume per mailbox. Tools that hide these behind an "optimal timing" toggle are fine for a first campaign and frustrating by the third.

A meter you can live with. This is where the real money is. Vendors bill by seats, by sends, by active contacts or by credits, and the same team can pay $34 or $435 a month for a comparable job depending only on which meter they picked. Work out your headcount and monthly volume before you look at a single feature list.

Saleshandy, if you are small and want the data included

Starter is $34 a month on annual billing ($41 monthly) and covers one user, 2,000 active prospects, 6,000 emails a month and 1,500 Lead Finder credits, where one credit reveals a verified email and six reveal a phone number. Pro at $76 lifts that to ten users, 30,000 prospects and 100,000 emails. Every plan connects unlimited sending mailboxes, and Saleshandy will also sell you the mailboxes at $2.99 to $3.99 each a month with domains at $14 a year, which is a genuine convenience if you are standing up sending infrastructure from scratch.

The change worth knowing about is that Saleshandy sequences now cover calls, LinkedIn, WhatsApp and manual tasks alongside email, on every plan including Starter. A year ago that was the reason to pay more for a multichannel tool. The catch is the seat cap: Starter really is one person, so a two-person team is already looking at Pro. Lemlist, if several people need to send

The Lemlist Email plan is $55 a month on annual billing ($69 monthly) for unlimited users, unlimited contacts and 50,000 emails a month, with warm-up, a 650M-contact database and an email and phone finder included. For a five-person team that is $11 a head, and the number does not move when you hire. The trade is that finder credits are pay-per-success rather than included: a verified email costs 5 credits at a cent each, so $0.05, and a phone number costs $0.20.

Multichannel is where Lemlist returns to per-seat billing at $87 per user a month annually ($109 monthly), which buys LinkedIn automation, SMS, a built-in dialer and five sending identities per user. Its LinkedIn automation is the more mature of the two, but five seats is $435 a month against $76 for a comparable Saleshandy plan. Smartlead and Instantly, if volume is the constraint

Both are built for teams running many mailboxes rather than many seats. Smartlead Base is $32.50 a month on annual billing ($39 monthly) with unlimited mailboxes on every plan, rotation and warm-up, which is why agencies gravitate to it. White-label is a $29 a month add-on per client workspace rather than a plan feature, so price that in if reselling is the point.

Instantly's cheapest plan that actually sends is the outreach-only Growth tier at $37.60 a month annually ($47 monthly) with unlimited email accounts, unlimited warm-up and 5,000 sends. Hypergrowth is $77.60 ($97) and lifts that to 25,000 uploaded contacts. Lead data sits on a second, separate meter, so if you already have a list you never need to buy it.

QuickMail, if you want a flat bill and unlimited seats

QuickMail is $49, $99 or $299 a month flat with unlimited email senders, unlimited LinkedIn accounts and unlimited seats on every tier, plus native warm-up at no extra charge. There is no per-user math to do at all, which makes it one of the simplest bills in the category for a growing team. It does not bundle a prospect database, so bring your own list. Those figures were last verified in July 2026, so check them before you buy.

Mailshake and Apollo, if the seat model suits you anyway

Mailshake is $25 per user a month on annual billing ($29 monthly) on Starter, which includes one mailbox and 1,500 sends. Email Outreach at $45 gives two mailboxes and unlimited sends, and Sales Engagement at $85 adds a power dialer with five phone numbers and ten mailboxes. The per-seat model is clean if your team is small and each rep genuinely needs their own sending identity.

Apollo starts at $49 per seat a month on annual billing, with 30,000 data credits per seat a year, rising to $79 and $119 with a three-seat minimum on the top tier. You are really buying the database and getting sequences alongside it. If the follow-up sequence is the whole job, you are paying for a lot of platform you will not use.

Yesware, Mixmax and GMass, if follow-ups should live in Gmail

These three solve a different problem: the rep who wants tracked, sequenced follow-ups from the mailbox they already work in, without learning a campaign tool. Yesware is $15 per user a month on annual billing ($19 monthly) on Pro, with a permanent free plan for up to five users, and the number that decides most purchases is buried in the fine print: Free allows 10 campaign recipients a month and Pro allows 20. Unlimited recipients start on Premium at $35.

Mixmax puts sequences on its Engagement Copilot tier at $65 per user a month and meters sequence recipients per month, with genuine inbox-side strengths like inline calendar availability and polls inside the email body. GMass is $29.95 a month for a single Gmail account and sends through Gmail itself, which caps you at Google's own daily sending limits. All three are excellent for warm follow-up and a poor fit for cold outreach at any real volume, because you are sending from your primary business mailbox.

How to pick in ten minutes

Answer three questions in this order and the shortlist writes itself.

How many people need to log in? One person, look at Saleshandy Starter or a Gmail-native tool. Three or more on email, look at Lemlist's Email plan or QuickMail, because both stop charging per head. Per-seat tools are the most expensive way to give a whole team access.

How many emails a month? Under 5,000 and almost everything works. Above 50,000 you need many mailboxes with rotation and warm-up, which puts Smartlead, Instantly, Saleshandy and QuickMail in front and quietly rules out the Gmail-native tools entirely.

Do you have the list? If yes, refuse to pay for a database. If no, Saleshandy and Apollo fold it into the subscription and Lemlist meters it per lookup. The thing none of them do

Every tool here automates the sending of the follow-up. Not one writes it. The AI in this category means a subject-line suggestion or a rewrite of a draft you already produced, so somebody on your team still opens a blank box and writes touch two, touch three and touch four for each segment. That is the actual bottleneck in most outbound teams, and no amount of sending infrastructure fixes it.
