Yesware Pricing 2026: Plans, Cost Per User and Limits

Yesware costs $19, $45 and $85 per user a month, or $15, $35 and $65 billed annually, with a permanent free plan for up to 5 users. But the price line is not what decides the purchase: Free allows 10 campaign recipients a month and Pro allows 20, so the $15 tier cannot run outreach at all. Yesware pricing runs $19 per user a month on Pro, $45 on Premium and $85 on Enterprise when billed monthly, dropping to $15, $35 and $65 per user a month on annual billing. There is a permanent free plan for up to 5 users and a 14-day trial of the paid tiers. The number that decides most purchases is not on the price line at all: the Free plan allows 10 campaign recipients a month and Pro allows 20. Unlimited campaign recipients start at Premium. All figures on this page were verified against Yesware's own pricing page on 1 September 2026.

That recipient cap is the single most misread thing about Yesware pricing, so it is worth being blunt about it. If you are shopping for a tool to run outbound campaigns, the $15 Pro plan will not do the job at any volume. It is an email tracking product with a token campaign allowance attached.

Prices verified 1 September 2026 on yesware.com. Annual billing saves roughly 21 to 24 percent across the paid tiers, which is a normal discount for this category and not aggressive enough to be the reason you commit for a year.

The 20-recipient cap is the real pricing story

Work out the cost per prospect contacted and the tier structure stops looking like a normal ladder. Pro is $15 a month for 20 campaign recipients, which is $0.75 for every prospect you are allowed to email. Premium is $35 a month for unlimited recipients, so a rep contacting 1,000 people a month pays about $0.035 each. That is a twentyfold difference in unit cost between two plans that sit $20 apart, and it exists because Pro is not really an outreach plan.

Read the tiers by job rather than by price and they make more sense. Free and Pro are for a rep who lives in Gmail or Outlook and wants to know whether the deal email got opened, whether the proposal PDF got read, and how to book the next meeting without four scheduling emails. Premium is the first plan that runs sequences to a list. Enterprise exists almost entirely to put Salesforce in the sidebar and keep activity synced both ways.

What you actually get at each tier

Email tracking, attachment tracking and the meeting scheduler are on every plan including Free, which is unusually generous and explains why so many individual reps run Yesware for years without paying. Pro removes the tracking limits and adds personal and engagement reporting, so you can see your own activity properly. Premium is where the product becomes a team tool: unlimited campaigns, shared templates so the whole team sends the same approved messaging, team-level reporting, and the ability to hide Yesware branding.

Enterprise is a CRM integration tier. The Salesforce inbox sidebar, bi-directional email sync, calendar sync and SSO all live there, and nothing below it touches Salesforce. That is a meaningful gate. Teams that need CRM activity to be complete and automatic either pay $65 per user a month, log activity by hand, or wire the sync themselves, which usually means running a small pipeline to keep the sales tool and the CRM in step rather than paying for the top tier across every seat.

What Yesware pricing does not include

  • Mailbox warm-up. Not offered at any tier. Yesware sends from your existing Google or Microsoft mailbox and assumes that mailbox already has a reputation.
  • Inbox rotation. There is no facility for spreading sends across a pool of mailboxes, which is the standard way to protect deliverability at volume. Yesware is one rep, one mailbox, by design.
  • Sending domains and mailbox provisioning. You bring your own. Nothing in the plan price covers secondary domains or extra inboxes.
  • A contact database. No lead finder, no enrichment, no verification credits. The list is entirely your problem.
  • Per-campaign headroom. Even on Premium, campaigns carry practical size limits per upload and per campaign, so treat "unlimited recipients" as unlimited over time rather than unlimited in one send.

None of that is a criticism of the product, but it changes who should buy it. Yesware is priced and built as a per-seat productivity layer on top of a mailbox a person already uses every day. It is not priced as outbound infrastructure, and the moment your plan involves several sending domains and tens of thousands of emails a month, you are comparing it against the wrong category. What does Yesware cost for a team?

Per-seat pricing compounds quickly, and Yesware gives no volume discount on the published tiers. Five reps on Premium is $175 a month on annual billing, or $2,100 a year. Ten reps on Enterprise, which is the realistic tier if you run Salesforce, is $650 a month, or $7,800 a year. Twenty-five reps on Enterprise is $1,625 a month.

Compare that against workspace-priced tools and the gap is the whole decision. A flat per-workspace sender covers the same ten people for a fixed monthly fee regardless of headcount, which is why growing teams tend to drift away from per-seat tracking tools once the roster passes five or six. The trade is real in both directions: per-seat pricing buys you a tool each rep genuinely uses inside their own inbox, and workspace pricing buys you volume. It stops being worth it when the job changes from tracking replies to running outbound at volume, because Yesware has no warm-up, no inbox rotation and no lead data, and the per-seat bill grows with the team while the sending capability does not.

Does Yesware work with Outlook? Yes. Yesware runs in both Outlook and Gmail, which is one of its genuine advantages over tools that are Gmail-only, and the tracking, templates and scheduler work in either. The deeper Salesforce integration, including the inbox sidebar and two-way email and calendar sync, is limited to the Enterprise tier at $65 per user a month on annual billing regardless of which mail client you use.

Is Yesware a CRM? No. Yesware is a sales engagement and email tracking layer that sits inside your mailbox, and it expects a CRM to exist alongside it. It has no pipeline, no deal records and no account management. Its Salesforce integration on the Enterprise plan is designed to feed activity into a CRM you already pay for, not to replace one.

Where Yesware fits, and where it does not

Buy Yesware when the constraint is visibility inside a mailbox: knowing what was opened, standardizing what gets sent, and removing scheduling friction. It does that well and the free tier lets you prove it costs nothing. Do not buy it as cold email infrastructure. The recipient caps on the lower tiers, the absence of warm-up and rotation, and the per-seat bill all point the same direction.
