Cold Email Software With Inbox Rotation: Limits and Pricing
Every cold email tool lists inbox rotation now. The difference is the limit the plan card leaves out: Saleshandy Starter rotates 10 mailboxes, Instantly and Smartlead entry plans cap sends at 5,000 and 6,000 a month, and GMass turns rotation on only from $59.95. What a 20-inbox pool really costs on each tool.

Every serious cold email tool now lists inbox rotation, so the feature itself no longer separates them. What separates them is the number the plan card leaves out. Saleshandy connects unlimited mailboxes but rotates across 10 of them on its Starter plan. Instantly and Smartlead include unlimited email accounts, but their entry plans stop at 5,000 and 6,000 sends a month, which a 20-inbox pool passes in about a week. GMass only turns rotation on from its $59.95 Professional tier. Price the pool you actually plan to run, not the plan with the word "rotation" on it.
Prices below were checked on each vendor's own pricing page in September 2026, in US dollars. Vendors change tiers often, so treat this as a snapshot and confirm on the page before you buy.
Which cold email software has inbox rotation, and on which plan
Inbox rotation means one campaign sends from a pool of mailboxes instead of one, so each address stays under a safe daily volume while the campaign as a whole goes out at full speed. If you want the mechanics first, our guide to how inbox rotation works covers them. This page is about what it costs to buy.
| Tool | Cheapest plan with rotation | Mailboxes you can rotate | Monthly send cap on that plan |
|---|---|---|---|
| Instantly | Outreach Growth, $47 a month | Unlimited email accounts | 5,000 emails |
| Smartlead | Base, $39 a month ($32 on yearly billing) | Unlimited email accounts | 6,000 emails |
| Saleshandy | Starter, $41 a month ($34 on annual billing) | Unlimited connected, but rotation spreads sends across 10 | 6,000 emails |
| lemlist | Email, $69 a month ($55 on yearly billing) | Unlimited users and email senders; rotation listed in all plans | 50,000 emails |
| GMass | Professional, $59.95 a month ($49 on annual billing) | Rotation (MultiSend) is off on Standard and Premium | Sends through Gmail limits rather than a plan cap |
| AutoMail | Starter, $49 a month ($39 on annual billing) | 5 inboxes on Starter, 25 on Growth, unlimited on Agency | Up to 5,000 contacts a month on Starter, 25,000 on Growth |
Read the third and fourth columns together. A plan that rotates unlimited mailboxes but caps total sends is really capped at whatever the send limit allows, and a plan that sends a lot but rotates only 10 addresses is capped by the pool. Most buyers only check one of the two.
The hidden ceiling: rotation pool size versus send cap
The standard advice for cold outreach is to keep each mailbox somewhere around 30 to 50 new emails a day once it is warmed, and to spread volume across secondary domains with a few mailboxes on each. Our breakdown of how many mailboxes to run per domain goes through why. Take the conservative end, 30 a day, across 22 sending days, and each mailbox carries about 660 emails a month.
That turns every plan limit into a mailbox count you can check:
- Instantly Growth (5,000 emails a month) fills at about 7 mailboxes. The unlimited email accounts are real, but you cannot send enough through them to use more than seven at a safe pace.
- Smartlead Base (6,000 a month) fills at about 9 mailboxes. Same story: unlimited connections, a send cap that binds first.
- Saleshandy Starter (6,000 a month, 10 rotated accounts) is the one plan where both limits land in the same place, at 9 to 10 mailboxes.
- lemlist Email (50,000 a month) covers about 75 mailboxes before the send cap matters.
So the entry plans of the three tools that advertise unlimited mailboxes all top out between 7 and 10 inboxes in practice. That is fine for a founder running one domain. It is not a 20-inbox program, and a 20-inbox program is roughly where most US teams land once outbound has a quota attached to it.
What a 20-inbox rotation pool actually costs
Here is the same job priced on every tool: 20 warmed mailboxes across five secondary domains, about 13,000 cold emails a month. Software is the cheapest plan that covers both the pool and the volume. Mailboxes are the vendor's own published resale price where it sells them, because that is the number a buyer comparing checkouts actually sees.
| Tool | Plan needed for 20 inboxes | Software, monthly billing | Mailboxes and domains | Rough monthly total |
|---|---|---|---|---|
| Instantly | Outreach Hypergrowth (100,000 emails) | $97 | Bring your own Google or Microsoft seats | $97 plus your mailbox seats |
| Smartlead | Pro (90,000 emails) | $94 ($78 yearly) | Google mailboxes via Zapmail at $4.50 each, domains $13 a year | About $190 |
| Saleshandy | Pro (100,000 emails, 100 rotated accounts) | $99 ($76 annual) | Mailboxes $2.99 to $3.99 each, domains $14 a year | About $165 to $185 |
| lemlist | Email (50,000 emails) | $69 ($55 yearly) | Bring your own, or buy in-app | $69 plus your mailbox seats |
| AutoMail | Growth (25 inboxes) | $99 ($79 annual) | Bring your own Google or Microsoft seats | $99 plus your mailbox seats |
Three things fall out of that table. First, the entry price on every one of these tools is irrelevant to a 20-inbox buyer, because nobody runs 20 inboxes on the entry plan. The real software line sits between $69 and $99 a month. Second, at 20 inboxes the mailboxes cost about as much as the software, and on Smartlead slightly more. Third, the two cheapest-looking options, Smartlead Base at $39 and Saleshandy Starter at $41, are the ones whose limits bind hardest, so they are the easiest to outgrow in the first month.
If you sell outbound as a service, the math compounds: every client domain adds its own pool. We priced that separately in what a cold email agency really costs to run.
What rotation does not fix
Rotation spreads volume. It does not make a bad email land. Mailbox providers now judge the sender and the message together: authenticated domains, low complaint rates and a reply signal. A pool of 20 mailboxes sending the same template to 13,000 people still produces 13,000 near-identical emails. Spam filters score the content as well as the sender, and the same template arriving from 20 new addresses reads as one bulk sender, not as 20 separate people.
That is the reason the pool size question should come second. The first question is what goes out through it. A rotation pool that sends a researched, specific opener to each prospect earns replies, and replies are the strongest positive signal a mailbox can get. A pool that sends one template earns complaints, and then rotation just spreads the damage across 20 addresses instead of one.
Two operational details matter more than the vendor you pick:
- Pause on reply across the whole pool. If the prospect answers mailbox 7, the follow-up scheduled from mailbox 12 has to stop. Every tool in the table handles this, but check it with a test campaign before you trust it with a real list.
- Keep the booking path identical. A reply can land in any of 20 inboxes, and whoever picks it up should send the same calendar link. Teams that route every meeting through one set of scheduling software for the whole team avoid the double-booked demo that happens when three reps each keep their own link.
How to choose cold email software with inbox rotation
Work it in this order. Count the mailboxes you will run in six months, not today. Multiply by about 660 to get the monthly send volume the plan must cover. Then find the cheapest plan that clears both numbers, and add the mailbox and domain line on top. That total is the only number worth comparing.
After that, the choice comes down to what you want the tool to do beyond sending:
- You need a lead database in the same bill: Instantly or lemlist, both of which sell data alongside sending. Our lemlist vs Instantly comparison covers the trade-off.
- You want the cheapest per-mailbox infrastructure bought in-app: Saleshandy, at $2.99 a mailbox on its annual term, then Smartlead at $4.50. See Smartlead vs Saleshandy for the rest of that comparison.
- You live in Gmail and send modest volume: GMass, but budget for Professional, because rotation is not on the cheaper tiers. Our GMass pricing breakdown has the tier details.
- The pool already works and replies are the problem: that is what AutoMail is for, covered below.
Frequently asked questions
Does Instantly have inbox rotation?
Yes. Instantly includes unlimited email accounts and unlimited warm-up on every outreach plan, and campaigns rotate sends across the accounts you attach. The limit that matters is the monthly send cap: 5,000 emails on the $47 Growth plan, which covers about seven mailboxes at a conservative 30 a day. A 20-inbox pool needs Hypergrowth at $97 a month.
Does Smartlead have inbox rotation?
Yes, on every plan, across unlimited connected email accounts. Base is $39 a month or $32 on yearly billing, with 6,000 sends a month, which fills at about nine mailboxes. Pro at $94 a month, $78 yearly, lifts the cap to 90,000. Smartlead also resells Google mailboxes through Zapmail at $4.50 each per month plus $13 a domain a year.
How many email accounts can Saleshandy rotate?
Saleshandy lets you connect unlimited mailboxes on every plan, but its compare table limits the rotation pool: 10 email accounts on Starter, 100 on Pro and 1,000 on Scale. Starter is $41 a month or $34 on annual billing, Pro $99 or $76 annual. For a pool larger than ten inboxes, Pro is the real entry point, whatever the headline says.
Which cold email tool is cheapest for inbox rotation?
For a small pool of up to about ten mailboxes, Smartlead Base at $32 a month on yearly billing and Saleshandy Starter at $34 annual are the cheapest. For 20 mailboxes the ranking changes, because both entry plans run out of sends. lemlist Email at $69 a month has the most headroom per dollar at that size, before you add the mailboxes themselves.
How many mailboxes should I rotate for cold email?
Enough that no single mailbox sends more than about 30 to 50 new emails a day. Divide your monthly target by roughly 660 for a conservative pool size: 5,000 emails a month needs about 8 mailboxes, 13,000 needs about 20. Spread them across several secondary domains, commonly two to three mailboxes per domain, and warm each one before it sends cold.
Is inbox rotation worth paying for?
Yes, once you send more than one mailbox can carry safely, which is around 1,000 cold emails a month. Below that, one warmed mailbox is fine and rotation adds cost without benefit. Above it, rotation is how you scale without pushing any single address into the volume range where Gmail and Outlook start filtering it.
Where AutoMail fits
AutoMail rotates a warmed pool too, 5 inboxes on Starter, 25 on Growth and unlimited on Agency, with warm-up and a spam-score check before every send. The difference is the part rotation cannot do. AutoMail researches each company, writes the opener and follow-ups for that specific prospect, pauses the whole pool the moment anyone replies, and routes meeting-ready answers to your calendar. Pricing is flat per workspace with unlimited seats, so a larger team does not change the bill. Start with the inbox rotation software page to see how the pool is managed, or try it on your own list with the tool at the top of this page.
